Webinar Recap: “Standardizing Scalable and Compliant Technology for Hybrid Trials”

The Society for Clinical Research Sites recently hosted a webinar featuring EmVenio and RealTime eClinical Solutions about “Standardizing Scalable and Compliant Technology for Hybrid Trials,” which discussed the role technology plays in hybrid clinical trials. Phillip Stanford, EmVenio’s senior director of technology and innovation, and Rick Greenfield, the founder of RealTime, explored the discovery and selection of technology for implementation, plus best practices and tips for success, adoption, training and maintenance.

Phillip discussed how technology plays a large role in EmVenio’s work as we bring our researchers and clinical trials directly to communities, especially among underrepresented populations. Our presence in a variety of clinical research facilities — mobile community sites, research centers in Prime Healthcare hospital campuses and home health visits — requires a great deal of logistics and coordination. With team members scattered across the United States and United Kingdom, we understand the importance of operating cohesively across all departments, including site operations, patient management, quality and compliance, project management and business development.

Phillip spoke extensively about the four phases of the technology adoption life cycle: discovery, implementation, training, and accountability and maintenance. He shared how he followed these steps at EmVenio to find the right technology and software to not only bring together each department, instead of operating in their own silos, but to also grow and finance EmVenio from a startup to a global research organization.

Practicing in a more seamless fashion helps stakeholders, like CROs, understand how your organization operates in a community setting and how your team can execute a study for them successfully. Phillip shared how implementing these practices helped with various processes such as reporting and quality and compliance.

Here are a few key takeaways that Phillip and Rick shared:

  • Take a moment to regularly assess your organization to unveil operational challenges. You need to thoroughly understand current workflows, pain points and primary objectives before exploring and implementing new tech.
  • Be open-minded about exploring different vendors to support your operations, but select one that is aligned with your organization’s specific needs and is committed to your ongoing success and growth.
  • Develop a well-defined plan and keep all stakeholders informed as you bring in a new program or tool. Be open to feedback and address concerns from staff throughout the implementation process.
  • Leadership should be proactive in encouraging all team members to use the organization’s new technology. Also consider appointing “key users” within your organization who can provide guidance to their teammates who need extra assistance.
